Planning & Operations specialist

Craftzing is looking for a Planning & Operations Specialist who gets energy from bringing structure, visibility, and operational calm to a fast-moving environment. Someone who does not just execute, but thinks along about how processes can improve and what a team needs to function well.

As a Planning & Operations Specialist, you help keep projects, people, and planning aligned behind the scenes. You work closely with project managers, client leads, delivery teams, finance, and leadership to make sure projects are properly staffed, priorities stay clear, and operational follow-up remains accurate and predictable.

What you'll do

• You keep a clear overview of team availability, project demand, and future staffing needs, translating this into practical planning decisions

• You oversee and maintain the overall staffing and capacity planning across active and upcoming projects

• You work closely with project managers and client leads to proactively identify and resolve planning conflicts, overload situations, and operational bottlenecks

• You facilitate recurring planning and operational check-ins, helping teams stay aligned and informed

• You support leadership and finance in operational follow-up, revenue forecasting and operational reporting

• You act as a connective layer between delivery, sales, and leadership

• You bring structure and follow-through to operational topics and help improve ways of working where needed in a pragmatic and lean way

• You ensure an efficient sales-to-planning flow, ensuring all stakeholders stay aligned throughout the process

• Depending on business needs and your experience, the role can be complemented with responsibilities in project management or product ownership on selected client engagements

• You report to the Chief Delivery Officer at Craftzing

Who we're looking for

• You have 3+ years of experience in operations, project coordination, delivery support, planning/traffic management, or a similar role within a digital agency or product studio environment

• You have experience with billability tracking

• You are highly organised and able to maintain overview across multiple projects and stakeholders

• You are comfortable working in environments where priorities shift regularly and operational challenges need pragmatic solutions

• You have strong communication skills and know how to keep different teams aligned

• You are comfortable working with planning data, forecasting, reporting, and operational follow-up

• You proactively identify risks and operational issues before they become problems

• You enjoy creating structure, clarity, and predictability in complex situations

• You take ownership and naturally follow through on operational topics

• You are fluent in Dutch and English

Nice to have

• You have experience using the Productive project and planning software

• You have experience with project financial follow-up, business controlling, and forecasting

• You have experience in project management, delivery coordination, or product ownership

• You can express yourself professionally in French
