A purchasing request arrives, gets checked against requirements, moves through supplier selection and approval, and closes after delivery confirmation. This role handles routine purchases that help internal teams obtain the goods and services they need without unnecessary delays. The agent sits within the purchasing team, works under a purchasing team lead, and communicates with internal requesters, suppliers, and budget approvers throughout each purchase. Job Responsibilities:
- Receive purchasing requests through a shared email inbox or request queue, identify the requester, and check the requested goods or services and timing.
- Verify item descriptions, quantities, delivery destinations, budget references, and required approvals before moving a request forward; ask requesters to clarify missing information.
- Review approved supplier lists and available catalogs to identify suitable purchasing options that match the requested specifications and established purchasing guidelines.
- Request supplier quotations and confirm pricing, availability, delivery estimates, and minimum quantities, keeping responses linked to the original purchasing request.
- Compare quotations using consistent criteria, summarize meaningful differences, and refer unfamiliar purchases or exceptions to the purchasing team lead before committing funds.
- Create purchase requisitions and purchase orders in a procurement system such as SAP Ariba, following the established approval sequence and checking entries before submission.
- Send approved purchase orders to suppliers, obtain acknowledgment, and record confirmed quantities and expected delivery dates for internal requesters to review.
- Follow up on outstanding orders, share supplier updates with requesters, and escalate shortages, substitutions, price changes, or delays to the purchasing team lead.
- Obtain delivery confirmation from the requester, resolve routine quantity or item mismatches with the supplier, and update the purchase status with complete notes.
- Close completed requests and support quality checks based on order accuracy, turnaround, complete notes, appropriate approvals, and timely follow-up on unresolved issues.
Qualifications:
- High school diploma or equivalent.
- No experience required; related purchasing, supplier support, or office experience preferred, with willingness to learn routine purchasing procedures through guided practice.
- Basic understanding of purchase requisitions, purchase orders, supplier quotations, and the difference between requesting approval and placing an approved order.
- Ability to compare quantities, unit prices, and delivery estimates accurately and identify differences that require clarification before a purchase proceeds.
- Willingness to learn a procurement system such as SAP Ariba and navigate electronic supplier catalogs, shared inboxes, and online approval queues.
- Clear written and verbal communication for asking requesters focused questions, confirming supplier details, and providing straightforward progress updates.
- Ability to organize multiple open requests, maintain accurate purchasing notes, protect internal purchasing information, and recognize when team lead guidance is needed.
- A reliable computer, high-speed internet, and a quiet private workspace, plus availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
Perks & Benefits:
