How you'll make an impact

If you enjoy working with people, systems and data — and like finding better ways to do things — this could be the role for you.

As the Senior People & Capability Coordinator, you'll be at the heart of how our HR team operates, helping to keep our systems, data and processes running smoothly while contributing to projects and improvements that make a real difference.

Reporting to the Manager, Human Resources, you'll work across HR systems and reporting, employee administration, recruitment, vendor and contract management, and P&C projects. You'll have the opportunity to take ownership of your work and play a hands-on role in improving our HR systems, processes and ways of working.

In this role, you will:

  • Manage and maintain HR systems, SharePoint, employee records and people data, ensuring information is accurate, current and accessible.
  • Prepare, analyse and report on people data to support reporting, audits and informed decision-making.
  • Administer HR activities across the employee lifecycle, including recruitment and onboarding, and coordinate key P&C compliance activities.
  • Prepare employment contracts, letters, correspondence, reports and other P&C documentation.
  • Manage P&C vendor relationships, including contracts, renewals, invoices and service arrangements.
  • Support P&C projects from research and planning through to implementation.
  • Identify opportunities to improve HR processes, systems and ways of working, and help turn ideas into practical improvements.
  • Respond to employee and stakeholder enquiries, providing accurate and responsive support.

What you'll bring

You're organised, curious and proactive. You enjoy figuring out how things work, solving problems and finding ways to make things simpler and more effective. You're comfortable working across different priorities and take pride in getting the details right.

To succeed in this role, you will have:

  • Experience in HR, administration or a similar role.
  • Experience using HR systems, databases and digital platforms, with an interest in technology and systems.
  • Strong skills in preparing and analysing data and reports, with experience using tools such as Excel or Power BI highly regarded.
  • Excellent attention to detail and the ability to manage accurate records and documentation.
  • Strong organisational and project coordination skills, with the ability to manage competing priorities.
  • Strong communication and stakeholder management skills, including working with internal stakeholders and external vendors.
  • A continuous improvement mindset, with the initiative and curiosity to learn.

Why join us?

This is a fantastic opportunity to join a highly collaborative and supportive team in a varied role where you'll work across HR systems, data, projects and process improvement, with plenty of opportunities to contribute and make an impact.

We offer a unique workplace that sits at the heart of Victorian democracy. You will work in a historic precinct with modern technology, contributing to an institution that values integrity, professional growth, and a supportive team culture.

Former Victorian Public Service employees who have accepted a Separation Package may apply for this role. Any re-employment restrictions that may apply within the Victorian Public Service do not prevent candidates from being considered for employment with the Department of Parliamentary Services.

A secondment from the Victorian Public Service may also be possible, subject to agreement between the two employers.

The recruitment process

  • Application: Submit your CV and a brief cover letter outlining your relevant experience and motivations for applying.
  • Initial screening: A 20-minute introductory phone call with a member of our HR team.
  • Panel interview: An interview with the Manager, Human Resources and key members of the department.
  • Final checks: National Police Check and professional reference checks.

Applications close on Tuesday 20 October 2026, and applicants may be contacted before the advertisement closes, so we encourage you to submit your application as soon as possible.
