How to apply, please read this first. We hire only through our own application page, which the Apply button opens: careers.iscent.com/assistant-operations-manager (nine short questions and a 60 to 90 second video introduction, about 15 minutes). CVs or messages sent on LinkedIn, and emails, are not reviewed. Only applications that complete this process are considered.

ISCENT, Dubai. Full-time, on site. A competitive all-inclusive salary, plus employment visa, medical insurance, annual flight ticket and end-of-service gratuity.

About ISCENT

ISCENT is a Dubai scent-marketing company. We design signature scents and run the diffusers that deliver them in malls, hotels, retail chains, offices and homes across the UAE: about 500 serviced sites, each visited on a fixed cycle by our own technicians, plus our Ensō home diffuser brand sold online. We are a small team, and we are moving our operations onto our own ERP. This role is its main daily user.

The role

You are the Operations Manager's number two. You own the daily rhythm of the field: every technician knows their day before it starts, every site is visited inside its cycle, every permit is in hand before the van leaves, and every job is closed in the system the same day. You take the small daily problems so the Operations Manager can take the big ones. This is a hands-on coordination job with real authority, not a desk-management job.

What you will do

- Plan and publish the next day's routes for our technicians (about six on the road, 12 to 15 visits a day between them) by mid-afternoon, grouping sites by area and honouring each customer's time window.

- Run the morning: the load-out check with the store (bottles, labels and spares against the day's jobs), hand-overs and first calls.

- Be the technicians' first call during the day: no access, machine fault, missing stock, sick colleague, running late. Re-plan, tell the customer, record it.

- Obtain and track work permits and access approvals for malls, DIFC, master communities, hotels and offices. Apply at least five working days ahead, keep copies and expiry dates in the system, renew before they lapse.

- Coordinate access with client facilities and security teams by phone, email and WhatsApp, in clear English.

- Close the day: every completed job has its report sent, its bottles scanned and its notes complete; every incomplete job has a reason and a new date.

- Keep every site on its service cycle, work down the overdue list every week, and record each site's time windows and access rules.

- Log customer complaints and service requests the same day and follow them to the fix.

- Prepare stock requests and bottle hand-overs with the store. The Operations Manager approves purchases.

- Produce the weekly operations numbers: visits planned against done, overdue sites, permits pending and expiring, same-day closures.

- Do all of the above in the ERP, and give structured feedback that makes it better.

What we need from you

- Three or more years coordinating or supervising field technicians in the UAE for a business that services customer sites on a recurring schedule: facilities management, pest control, HVAC, MEP or fire-system maintenance, lifts, water or coffee-machine service, telecom installation or similar.

- You have personally obtained work permits or NOCs for Dubai malls, DIFC, master communities or hotels, and you know the documents and the lead times.

- You have built next-day schedules for five or more technicians and handled the morning when one of them did not turn up.

- Strong Excel or Google Sheets (filters, lookups, pivots) and experience with field-service or CAFM software. Quick to learn a new system.

- Accurate under interruption: you check your own work, you write things down, you follow a checklist.

- Fluent written and spoken English. Hindi or Urdu is a strong plus with our technicians, and Arabic with some of our clients.

- Based in Dubai, and reachable by phone and email on Saturdays to coordinate with the technicians. A UAE driving licence is a plus.

What this role is not

It is not a sales role, and it is not a desk-management role. You will be in the detail every day, and that is the point.

What we offer

- A competitive all-inclusive salary, depending on experience; the range is stated on the application page.

- Employment visa, medical insurance, 30 days of annual leave, an annual flight ticket and end-of-service gratuity under UAE labour law. Company phone and SIM.

- Six-month probation with a written review at 30 days.

- Working days and hours: Monday to Friday, 9 am to 6 pm, in the office. On Saturdays you are available by phone and email to coordinate with the technicians, not in the office.

We welcome applicants of all nationalities.

How to apply

Only through our application page, which the Apply button opens: careers.iscent.com/assistant-operations-manager (also reachable as iscent.com/join). It takes about 15 minutes: nine short questions and a 60 to 90 second video you record in the browser, on your phone or computer. We read every completed application ourselves and reply to everyone who finishes it. CVs or messages sent on LinkedIn, and emails, are not reviewed. Only applications that complete this process are considered.
