HR & OPERATIONS COORDINATOR

ABOUT THE ROLE
The Smart Wash Ltd is looking for a proactive, highly organised and commercially aware HR & Operations Coordinator to support our growing operations in Lagos.
The position will initially be remote, but candidates must be based in Lagos and able to commute reliably to Murtala Muhammed International Airport, as the position will transition into a hybrid role supporting our airport operations.
This is not a purely administrative HR position.
You will sit between HR, people management and day-to-day operations. You will help ensure our teams are properly staffed, employees are accountable for their performance, operational requirements are planned in advance, and HR and compliance processes are consistently followed.
As our Lagos airport operation develops, you will also play an important role in supporting staff airside compliance, including airside pass applications and renewals, employee documentation, training records and other airport access requirements.
We are looking for someone who identifies problems early and takes ownership of getting them resolved rather than simply reporting them after they happen.
KEY RESPONSIBILITIES
HR & PEOPLE OPERATIONS
• Maintain accurate employee records, attendance, punctuality, leave and HR documentation.
• Support employee relations, disciplinary matters, employee recognition and performance management.
• Coordinate payroll information and review employee records for accuracy.
• Maintain HR trackers and ensure outstanding actions are followed through to completion.
• Ensure company policies and procedures are consistently followed.
• Support management with day-to-day employee issues and maintain appropriate documentation.
OPERATIONS & MANPOWER
• Coordinate daily staffing and technician availability.
• Maintain staff rotas and plan manpower requirements in advance.
• Monitor employee attendance, punctuality, start times and completion of required operational checklists.
• Coordinate staff availability and operational requirements for upcoming jobs.
• Support vehicle and resource allocation where required.
• Identify potential staffing or operational problems before they affect service delivery.
• Follow operational actions through to completion rather than simply escalating them.
PERFORMANCE MANAGEMENT
• Monitor employee KPIs, productivity, attendance, absence and overall performance.
• Identify performance trends and employees requiring additional support or intervention.
• Conduct performance discussions and accurately document outcomes.
• Work with management to establish and monitor individual performance targets.
• Support employee coaching, recognition and corrective action where appropriate.
• Monitor technician upselling performance and communicate targets and feedback.
• Collect feedback from managers and team leads to support continuous improvement.
RECRUITMENT, ONBOARDING & DEVELOPMENT
• Support the full recruitment process, including advertising vacancies, screening applicants, coordinating interviews and assisting with candidate selection.
• Maintain a pipeline of suitable candidates for operational positions.
• Coordinate onboarding and induction for new employees.
• Ensure new starters have completed all required documentation before commencing work.
• Identify employee training and development needs.
• Coordinate internal training, mentoring and employee development activities.
• Support the development and improvement of HR processes as the business grows.
AIRPORT & AIRSIDE COMPLIANCE SUPPORT
As the role transitions to our operations at Murtala Muhammed International Airport, you will support the administrative and people-related aspects of airport compliance.
Responsibilities will include:
• Supporting applications, renewals and record keeping for staff airside passes, airport identification and access permissions.
• Ensuring employee documentation required for airport access is complete, accurate and submitted within the required deadlines.
• Maintaining records of airside pass expiry dates, training requirements and other employee compliance documentation.
• Proactively monitoring upcoming expiries and beginning renewals early to minimise disruption to operations.
• Following up with employees to obtain outstanding documents and information.
• Supporting onboarding requirements for new employees requiring airport or airside access.
• Supporting the coordination and documentation of required airport, safety and operational training.
• Maintaining an accurate compliance tracker and highlighting outstanding actions.
• Promptly escalating anything that could affect an employee's ability to work or access operational areas.
• Supporting management with additional airport-related administrative and compliance requirements as the Lagos operation develops.
REPORTING & MANAGEMENT SUPPORT
• Maintain accurate daily and weekly HR and operational trackers.
• Prepare concise management reports covering staffing, attendance, productivity, performance, compliance and outstanding issues.
• Keep management informed of significant employee or operational issues.
• Escalate time-sensitive matters promptly.
• Follow up on agreed management actions and ensure they are completed.
• Maintain clear records of actions, responsibilities and deadlines.
• Provide administrative support across HR and operational projects where required.
WHAT WE'RE LOOKING FOR
We are looking for someone with 2–3+ years of relevant experience in HR, people operations, workforce coordination, administration or a similar role.
The successful candidate should be:
• Highly organised and able to manage multiple priorities simultaneously.
• Proactive and comfortable taking ownership without constant supervision.
• Confident communicating with employees and holding people accountable.
• Comfortable dealing with employee performance and difficult conversations.
• Strong with Microsoft Excel and/or Google Sheets.
• Comfortable working with KPIs, trackers and performance data.
• An excellent written and verbal communicator.
• Detail-oriented, particularly when dealing with documentation and compliance.
• Capable of identifying problems and proposing practical solutions.
• Comfortable working in a fast-moving operational environment where priorities can change.
• Based in Lagos and able to commute reliably to Murtala Muhammed International Airport once the position transitions to hybrid working.
WHAT SUCCESS LOOKS LIKE
Success in this role means management should not need to constantly chase you to find out whether something has been done.
You should have a clear understanding of what is happening across the team, where staffing gaps exist, who is performing well, who requires intervention, what compliance items are approaching expiry, and what operational issues could affect the business.
We expect you to stay ahead of the operation rather than react to it.
When you identify a problem, the expectation is that you investigate it, propose a solution and take ownership of the next steps.
LOCATION & WORKING ARRANGEMENT
The position will initially be remote.
However, applicants must be based in Lagos and within reasonable commuting distance of Murtala Muhammed International Airport.
As our Lagos airport operations develop, the position will transition into a hybrid working arrangement, with part of the working week based at or around the airport.
