As we grow, we are looking for a Payroll Processor to join our team. We’re looking for someone who understands Payroll fundamentals and thrives on accuracy in execution.

Key Responsibilities
Multi-Client Payroll Processing
- Execute full-cycle payroll across multiple US and international clients on weekly, bi-weekly, semi-monthly, and monthly schedules
- Calculate variable pay, bonuses, commissions, overtime, and reimbursements with 100% accuracy before disbursement
- Conduct pre-payroll audits to verify employee data, timecards, and pay rates prior to execution
System & Platform Administration
- Set up, configure, and operate client accounts across Gusto, QuickBooks Payroll, Rippling, ADP, Deel, Ontop, and Wise
- Onboard new employees, set up global contractor payments, and manage pay structure settings
- Troubleshoot system sync errors, platform glitches, and multi-tool integration issues
Communication & Support
- Serve as the primary contact for client leadership and employees on all payroll-related matters
- Clearly communicate client submission deadlines, cutoffs, and processing timelines
- Resolve paycheck discrepancies, missing timecards, and payout inquiries with urgency and clarity
Compliance & Filings
- Maintain strict compliance with US federal, state, local, and international payroll regulations
- Track state tax registrations, statutory withholdings, and pay laws (e.g., final pay, overtime rules)
- Coordinate quarterly and annual tax filings (W-2s, 1099s) and manage government tax notices
Process Optimization & SOPs
- Identify manual bottlenecks, double-entry tasks, and redundant steps in client payroll workflows
- Build clear checklists, standardized procedures (SOPs), and automated workflows to reduce error rates
- Recommend platform upgrades or integration fixes to keep payroll systems scalable

Requirements
Education & Qualifications
- Bachelor’s degree in Human Resources, Finance, Business Administration, or a related field (or equivalent practical experience).
- Certified Payroll Professional (CPP), Fundamental Payroll Certification (FPC), or equivalent regional payroll certification is a strong plus.
Experience & Skills
- 3+ years of hands-on experience managing full-cycle, multi-client or multi-entity payroll processing (US payroll expertise required; global contractor/payroll experience strongly preferred).
- Direct proficiency in key payroll and payout platforms: Gusto, QuickBooks Payroll, Rippling, ADP, Deel, Ontop, and Wise.
- Basic accounting alignment: Strong understanding of general ledger postings, payroll liabilities, and clearing account reconciliation (especially within QuickBooks Online).
- Communication: Exceptional written and verbal English skills for direct client interactions and employee support.
- Organization: Proven ability to manage strict, recurring deadlines across multiple client accounts simultaneously with extreme attention to detail.
