The Role
We are seeking an experienced Policy Renewal Helper / Catering Host / Inventory Auditor to support policy-renewal documentation, customer follow-ups, catering events, guest service, stock verification, inventory reconciliation, audit preparation, and general operations.
The ideal candidate is detail-oriented, organized, approachable, and comfortable handling insurance records, customer requests, catering activities, inventory data, physical stock checks, and multiple operational priorities.
Key Responsibilities
- Assist with routine insurance policy-renewal administration according to approved procedures.
- Maintain accurate records of policies, renewal dates, policy numbers, insured details, coverage information, premiums, endorsements, and supporting documents.
- Review renewal records for completeness, accuracy, expired information, missing documents, and required approvals.
- Prepare approved renewal notices, document packages, quotations, summaries, and customer correspondence.
- Enter and update policy information accurately in insurance, CRM, ERP, or document-management systems.
- Maintain renewal trackers showing upcoming expiries, customer responses, documentation status, quotations, approvals, and completed renewals.
- Follow up with customers, brokers, insurers, underwriters, finance teams, and internal departments regarding routine renewal requirements.
- Assist with collecting updated identification, business documents, asset information, claims information, or other approved renewal documentation.
- Track outstanding renewals and escalate overdue responses, missing information, significant coverage questions, or complex cases to authorized personnel.
- Assist with comparing current and renewal policy information and identifying changes requiring review.
- Maintain organized electronic and physical files for policies, renewals, correspondence, quotations, invoices, and supporting documentation.
- Assist with renewal-related billing, payment records, receipts, and administrative reconciliation where authorized.
- Protect confidential customer, insurance, financial, and commercial information.
- Prepare daily, weekly, and monthly renewal-status reports and outstanding-item summaries.
- Welcome guests, clients, employees, event participants, suppliers, and VIP visitors at catering venues or corporate events.
- Assist with event registration, guest seating, buffet arrangements, refreshments, service requests, and routine hospitality activities.
- Coordinate with chefs, catering staff, servers, event coordinators, venue teams, suppliers, and facilities personnel.
- Prepare approved catering areas, tables, service stations, signage, guest materials, and event supplies.
- Maintain accurate guest counts, dietary-request records, service schedules, event checklists, and catering activity logs.
- Assist with corporate functions, conferences, meetings, private events, receptions, exhibitions, and hospitality programs.
- Provide professional and courteous service while responding to routine guest requests.
- Coordinate replenishment of food-service supplies, beverages, serving equipment, utensils, linens, and event materials.
- Monitor service areas and report shortages, damaged equipment, spills, hygiene concerns, or operational issues promptly.
- Maintain a clean, organized, welcoming, and professional catering environment.
- Handle customer or guest concerns politely and escalate food-safety, allergen, medical, security, or serious service matters to authorized personnel.
- Assist with receiving, counting, checking, recording, and organizing inventory across assigned locations.
- Conduct routine physical inventory counts, cycle counts, spot checks, and stock verification activities.
- Compare physical stock against inventory-management systems, stock cards, purchase orders, delivery notes, and approved records.
- Verify item descriptions, product codes, quantities, batch or lot numbers, expiry dates, storage locations, and visible condition.
- Record inventory-count results and investigate routine differences between physical quantities and system records.
- Identify missing, damaged, expired, obsolete, duplicate, excess, or incorrectly recorded inventory and report discrepancies.
- Maintain inventory-audit worksheets, variance reports, stock registers, count sheets, and reconciliation records.
- Assist with inventory reconciliations and document explanations or supporting evidence for identified variances.
- Coordinate with warehouse, procurement, finance, purchasing, catering, sales, logistics, and operations teams.
- Assist with barcode scanning, item labeling, stock movements, transfers, returns, and inventory adjustments.
- Verify stock movements and ensure approved transactions are reflected accurately in inventory records.
- Assist with reviewing inventory controls, storage procedures, authorization records, and stock-management practices.
- Support internal and external inventory audits by preparing requested records, count sheets, reports, and supporting documentation.
- Track corrective actions resulting from inventory reviews and follow up on outstanding discrepancies.
- Assist with monitoring stock levels and identifying replenishment, slow-moving, or excess-inventory requirements.
- Maintain organized storage areas and ensure inventory is properly labeled, protected, and accessible.
- Prepare daily, weekly, and monthly reports covering policy renewals, catering activities, inventory counts, variances, and outstanding tasks.
- Maintain organized electronic and physical files covering insurance, customer, event, supplier, inventory, and audit documentation.
- Support internal audits, policy reviews, customer-service assessments, catering evaluations, stock counts, and operational quality checks.
- Protect confidential customer, financial, employee, supplier, insurance, and commercial information.
- Follow insurance procedures, hospitality standards, inventory controls, food-safety requirements, workplace safety policies, data-protection standards, and applicable UAE regulations.
- Escalate significant policy discrepancies, serious customer complaints, food-safety concerns, security incidents, inventory variances, or operational issues promptly.
- Identify opportunities to improve renewal tracking, customer experience, catering coordination, inventory accuracy, and audit efficiency.
Requirements
- Bachelor’s degree or equivalent qualification in Insurance, Finance, Business Administration, Hospitality, Supply Chain, Accounting, Logistics, or a related field is preferred.
- 3+ years of professional experience in insurance administration, policy servicing, hospitality, catering, inventory control, auditing, warehouse operations, or business administration is preferred.
- Experience across two or more of policy renewals, insurance administration, catering services, inventory auditing, stock control, or logistics is advantageous.
- Strong understanding of insurance documentation, customer service, catering operations, inventory procedures, reconciliation, and document control.
- Familiarity with policy-renewal processes, insurance CRM systems, underwriting documentation, premiums, endorsements, or claims records is advantageous.
- Familiarity with inventory-management systems, warehouse procedures, barcode technology, stock auditing, cycle counting, and reconciliation is advantageous.
- Knowledge of food-service operations, event hospitality, hygiene standards, or catering coordination is advantageous.
- Excellent spoken and written English communication skills.
- Additional languages such as Arabic, Hindi, Urdu, Mandarin, French, or Russian are advantageous.

- Advanced Excel skills, including PivotTables, lookups, filters, and reconciliation techniques, are advantageous.
- Experience with SAP, Oracle, Microsoft Dynamics, Salesforce, Odoo, NetSuite, Guidewire, or comparable systems is advantageous.
- Familiarity with inventory-audit platforms, WMS, barcode systems, catering/POS software, insurance-management systems, or digital checklists is advantageous.
- UAE or GCC experience in insurance, hospitality, catering, retail, logistics, warehousing, finance, or corporate services is advantageous.
- Insurance, hospitality, inventory, accounting, audit, logistics, or administrative certifications are advantageous but not required.
