💼 Experience Level: Mid-Level to Senior

🌐 Work Arrangement: Fully Remote

About Us

We are a construction-focused organization committed to delivering complex projects through disciplined contract management, commercial excellence, risk control, and collaborative project delivery. Our distributed teams collaborate across Project Management, Construction, Engineering, Procurement, Commercial, Legal, Finance, Human Resources, Design, Quality, HSE, Consultants, Contractors, Suppliers, Logistics, Administration, Information Technology, and Executive Leadership to support effective employee benefits administration, maintain accurate retirement-related records, strengthen financial governance, and promote responsible workforce planning across construction projects and corporate functions.

The Role

We are seeking an experienced Senior Retirement Plan Administration Specialist to oversee retirement benefit administration, employee eligibility records, contribution reconciliation, plan documentation, benefit calculations, and retirement-related compliance activities. The successful candidate will work closely with Human Resources, Payroll, Finance, Legal, external benefit providers, and senior management to ensure retirement-related employee benefits are administered accurately, confidentially, and in accordance with applicable employment requirements, organizational policies, and relevant plan provisions. This role will also support employee inquiries, financial reconciliations, audits, reporting, plan governance, and continuous improvement of retirement benefit administration processes.

Key Responsibilities
  • Administer retirement-related employee benefit programs in accordance with applicable laws, employment contracts, organizational policies, and approved plan provisions.
  • Maintain accurate records of employees participating in retirement, pension, savings, end-of-service, or other applicable long-term benefit arrangements.
  • Coordinate with Human Resources, Payroll, Finance, Legal, and external benefit administrators to ensure consistent administration of retirement-related entitlements.
  • Monitor employee eligibility for retirement benefit programs based on employment status, service duration, employee category, and applicable plan rules.
  • Maintain accurate employee enrollment records, participation details, beneficiary information, and relevant retirement plan documentation.
  • Coordinate enrollment, amendments, suspensions, and terminations associated with retirement benefit arrangements.
  • Verify employee information before processing retirement-related transactions and benefit administration requests.
  • Review retirement plan documentation to ensure employee records reflect approved terms, eligibility requirements, and applicable administrative procedures.
  • Maintain current records of plan rules, benefit structures, contribution requirements, administrative guidelines, and relevant governance documentation.
  • Support the interpretation and implementation of retirement plan provisions in coordination with authorized Human Resources, Finance, and Legal personnel.
  • Monitor changes in applicable United Arab Emirates employment requirements affecting pension arrangements, retirement-related entitlements, and end-of-service benefits.
  • Coordinate with Legal and Compliance teams to clarify regulatory requirements affecting different employee categories and employment arrangements.
  • Support the administration of applicable pension and retirement benefit arrangements for eligible employees, including coordination with relevant external authorities or administrators where required.
  • Distinguish between applicable statutory pension arrangements, employer-sponsored retirement plans, and other contractual end-of-service benefit obligations.
  • Ensure retirement-related administration follows the applicable framework for each employee category rather than applying a single benefit structure universally.
  • Maintain accurate records of employee service dates, employment status, eligible compensation, contribution history, and other relevant calculation inputs.
  • Review employee data for completeness and accuracy before calculating or validating retirement-related benefits.
  • Coordinate with Payroll to obtain validated salary, service, contribution, and employment information required for benefit calculations.
  • Calculate or validate retirement-related benefits in accordance with applicable statutory requirements, approved plan rules, and documented calculation methodologies.
  • Review service periods, eligible earnings, contribution histories, and other relevant variables affecting retirement or end-of-service entitlements.
  • Investigate discrepancies involving employee eligibility, service records, contribution amounts, benefit estimates, and payment calculations.
  • Ensure benefit calculations are independently reviewed or approved where required by established financial controls.
  • Maintain supporting worksheets, calculation records, source data, and approval documentation for retirement-related transactions.
  • Coordinate the processing of approved retirement benefit payments, settlements, and related administrative transactions.
  • Support the administration of retirement-related benefits arising from employee resignation, termination, retirement, contract completion, or other applicable separation events.
  • Coordinate with HR operations to confirm employment dates, separation reasons, final salary information, and other required inputs before benefit settlement.
  • Reconcile retirement-related entitlements with final payroll calculations and other employee separation payments.
  • Monitor outstanding retirement benefit cases and follow up with responsible departments to ensure timely resolution.
  • Maintain records of approved, pending, disputed, and completed retirement benefit transactions.
  • Coordinate with employees and authorized representatives regarding required documentation for retirement-related applications and settlements.
  • Support beneficiary and dependent record administration where permitted under applicable laws, plan rules, and organizational policies.
  • Verify beneficiary documentation and authorized changes in accordance with established identity verification and approval procedures.
  • Handle sensitive employee and beneficiary information with strict confidentiality and appropriate access controls.
  • Maintain accurate records of employee contributions, employer contributions, adjustments, refunds, and other applicable retirement plan transactions.
  • Reconcile contribution data between payroll systems, internal accounting records, plan administrators, and relevant external providers.
  • Investigate contribution discrepancies, missing transactions, duplicate entries, incorrect deductions, and timing differences.
  • Coordinate with Payroll and Finance to correct contribution errors and ensure adjustments are properly authorized and documented.
  • Monitor contribution submission deadlines and ensure required information is provided to external administrators within established timelines.
  • Support the preparation and review of contribution schedules, payment instructions, reconciliations, and supporting financial documentation.
  • Verify that retirement-related deductions and employer contributions are reflected accurately in relevant payroll and accounting records.
  • Coordinate with Finance to reconcile retirement benefit liabilities, contribution balances, and related general ledger accounts where applicable.
  • Support month-end, quarter-end, and year-end financial closing activities involving retirement-related benefits and obligations.
  • Assist with the preparation of retirement benefit accruals, liability schedules, reconciliations, and supporting financial reports in coordination with Finance.
  • Provide validated employee data and calculation support for relevant financial reporting and benefit liability assessments.
  • Coordinate with external actuaries or qualified financial specialists when actuarial valuations or specialist assessments are required.
  • Maintain supporting documentation for assumptions, data submissions, reconciliations, and review findings associated with external benefit valuations.
