We are currently hiring a Virtual Assisted Living & Nursing Home Manager to lead and oversee virtual coordination operations supporting assisted living facilities and nursing homes. This is a leadership-focused role responsible for managing virtual coordinators, overseeing resident documentation and administrative workflows, handling escalations, and ensuring consistent communication across facilities, families, providers, and external partners.
Role Overview
The Virtual Assisted Living & Nursing Home Manager is responsible for leading the team that supports the administrative and coordination needs of assisted living and nursing home facilities.
This role sits at the intersection of team leadership, operations, documentation, communication, and quality control ensuring virtual coordinators follow established workflows while maintaining accurate records and completing tasks within expected timelines.
You will supervise daily operations, distribute workloads, monitor team performance, manage escalations, review documentation quality, and ensure appointments, transportation, family communication, and resident-related administrative workflows are properly coordinated.
The Manager will also work closely with internal leadership and facility teams to identify operational gaps, improve processes, and maintain reliable support across all assigned facilities.
What You’ll Be Doing
Team Leadership & Daily Operations
- Lead, supervise, and support Virtual Assisted Living and Nursing Home Coordinators.
- Assign daily responsibilities and balance workloads across team members and facilities.
- Monitor completion of documentation, communication, scheduling, and coordination tasks.
- Establish clear expectations, workflows, and accountability across the team.
- Conduct regular team check-ins and provide coaching, feedback, and ongoing training.
- Monitor team productivity, accuracy, response times, and operational KPIs.
- Serve as the primary escalation point for complex resident, family, facility, or coordination issues.
- Identify workflow gaps and implement improvements to strengthen operational efficiency.
Resident Documentation & Record Oversight
- Oversee the maintenance of accurate resident demographics, appointment histories, communication logs, and administrative records.
- Ensure care plans, consent forms, admission documentation, discharge records, and other required documents are properly tracked and organized.
- Review documentation completed by coordinators for accuracy, completeness, and consistency.
- Monitor admission, discharge, transfer, and room-transition workflows.
- Ensure documentation standards and facility-specific procedures are consistently followed.
- Address missing, incomplete, or outdated documentation with the appropriate team members.
Family, Facility & Provider Communication
- Oversee non-clinical communication workflows between facility teams, residents' families, healthcare providers, and external partners.
- Ensure family updates and follow-ups are completed according to facility protocols.
- Handle escalated communication concerns requiring management-level involvement.
- Monitor emergency contact information, consent documentation, and communication records.
- Ensure important updates and unresolved concerns are escalated to the appropriate facility or clinical personnel.
- Maintain professional and consistent communication standards across the virtual team.
Appointment & Transportation Management
- Oversee the coordination of medical, dental, specialist, and other external appointments for residents.
- Ensure transportation arrangements are coordinated accurately with approved vendors or facility resources.
- Monitor upcoming appointments, cancellations, missed visits, and rescheduling requirements.
- Ensure coordinators properly document appointment outcomes and follow-up requirements.
- Address complex scheduling or transportation issues that could disrupt resident services.
- Track recurring logistical challenges and develop processes to reduce future disruptions.
Quality Assurance, Compliance & Reporting
- Monitor the quality and accuracy of work completed by virtual coordinators.
- Develop and maintain standardised workflows, trackers, checklists, and operational procedures.
- Review team performance and prepare regular operational reports for management.
- Track key metrics including task completion, documentation accuracy, pending follow-ups, escalations, and response times.
- Ensure resident and facility information is handled according to HIPAA, confidentiality, and organisational requirements.
- Support internal quality reviews and compliance-related documentation when required.
- Identify recurring operational issues and recommend corrective actions or process improvements.
What We’re Looking For
Core Skills
- Assisted Living & Nursing Home Operations: Strong understanding of administrative and coordination workflows within assisted living, long-term care, nursing home, or similar healthcare environments.
- Team Leadership: Ability to supervise remote coordinators, delegate responsibilities, monitor performance, and maintain team accountability.
- Documentation Management: Strong ability to oversee resident records, communication logs, consent documentation, and operational records.
- Operational Coordination: Experience managing appointments, transportation, follow-ups, admissions, discharges, and other facility coordination workflows.
- Stakeholder Management: Ability to coordinate professionally across facility staff, families, providers, vendors, and internal teams.
- Performance & KPI Management: Ability to monitor productivity, quality, response times, pending tasks, and team performance.
- Process Improvement: Ability to identify workflow gaps and establish structured processes that improve accuracy and efficiency.
- HIPAA & Confidentiality Awareness: Strong understanding of privacy, confidentiality, and appropriate handling of resident information.

Baseline Requirements
- Bachelor’s degree in Healthcare Administration, Business Administration, Management, or a related field preferred.
- Previous experience in assisted living, nursing homes, long-term care, healthcare administration, or healthcare operations strongly preferred.
- Previous experience in a team lead, supervisor, manager, or senior coordination role preferred.
- Comfortable managing and supervising a fully remote team.
- Comfortable using EHR/EMR, CRM, documentation, scheduling, or facility management systems.
- Proficient in Google Workspace and Microsoft Office.
- Familiar with communication platforms such as Slack, Zoom, and Microsoft Teams.
- Strong written and verbal English communication skills.
- Strong time management, prioritisation, and problem-solving abilities.

Working Hours
Shift: 8:30 AM – 5:30 PM (EST) | Monday – Friday
Work Setup: Fully Remote
Additional Notes
- Prior leadership experience within assisted living, nursing homes, long-term care, home care, or healthcare operations is highly preferred.
- Experience managing remote healthcare support teams is an advantage.
- Training and structured onboarding will be provided.
- This is a management and operations-focused, non-clinical role.
- The Manager will be responsible for both team performance and the quality of operational support delivered to assigned facilities.
