Virtual Chiropractic Operations Manager

About the Role
Health & Virtuals is looking for an experienced Virtual Chiropractic Operations Manager with a professional background in Physiotherapy/Physical Therapy and hands-on experience working with U.S.-based chiropractic practices or the U.S. healthcare market.
This is a leadership and operations-focused role responsible for managing and developing our team of Virtual Chiropractic Assistants (VCAs), overseeing patient coordination workflows, maintaining operational quality, and ensuring consistent support for U.S.-based chiropractic practices.
The ideal candidate combines a strong understanding of physiotherapy, rehabilitation, musculoskeletal care, and chiropractic workflows with proven experience in team leadership and healthcare operations.
As the Virtual Chiropractic Operations Manager, you will serve as the primary leadership and escalation point for the VCA team while working closely with U.S. providers and practice teams to ensure smooth, accurate, and patient centered operations.
What You'll Be Doing
Team Leadership & VCA Management
- Lead, supervise, and support a team of Virtual Chiropractic Assistants.
- Assign responsibilities and manage daily workloads across the team.
- Monitor VCA performance, productivity, communication quality, and documentation accuracy.
- Establish clear KPIs, expectations, and accountability standards.
- Conduct regular team meetings, coaching sessions, and performance reviews.
- Train VCAs on chiropractic terminology, patient workflows, scheduling procedures, documentation standards, and practice-specific processes.
- Identify performance gaps and provide targeted coaching and retraining.
- Serve as the primary escalation point for complex patient, scheduling, provider, or administrative concerns.
U.S. Chiropractic Practice Operations
- Oversee virtual administrative operations for U.S.-based chiropractic practices.
- Ensure the team understands the patient journey from initial consultation through adjustments, therapy sessions, re-examinations, and follow-up care.
- Support workflows involving chiropractic, physiotherapy, rehabilitation, orthopedic, and musculoskeletal care.
- Ensure provider instructions and recommended follow-up schedules are accurately reflected in administrative workflows.
- Coordinate with U.S.-based providers and practice teams regarding operational requirements, workflow changes, and service expectations.
- Identify operational challenges and develop solutions that improve practice efficiency and patient experience.
Patient Scheduling & Care Coordination Oversight
- Oversee scheduling for new patient consultations, chiropractic adjustments, therapy sessions, re-examinations, and follow-up appointments.
- Ensure recurring appointments are scheduled accurately according to provider-recommended care plans.
- Monitor cancellations, rescheduling, appointment confirmations, and patient follow-ups.
- Review provider schedules and identify opportunities to improve appointment utilization and patient flow.
- Ensure scheduling conflicts and urgent patient requests are resolved promptly.
- Monitor patient attendance workflows and ensure appropriate follow-up on missed or cancelled appointments.
Patient Communication & Service Quality
- Ensure VCAs maintain professional, empathetic, and patient-focused communication.
- Monitor patient interactions and communication quality across calls, messages, and other channels.
- Handle escalated patient concerns requiring management-level support.
- Ensure patients receive accurate administrative information regarding appointments, practice procedures, and follow-up requirements.
- Work with the team to improve patient responsiveness, satisfaction, and continuity throughout the care journey.
Documentation & Administrative Quality
- Oversee patient documentation and administrative record keeping completed by the VCA team.
- Ensure patient demographics, intake forms, referrals, imaging reports, appointment notes, and supporting documentation are properly maintained.
- Review documentation for accuracy, completeness, and consistency.
- Ensure patient communications and appointment updates are properly documented within relevant healthcare systems.
- Monitor outstanding referrals, documentation requests, and administrative follow-ups.
- Ensure documentation practices comply with HIPAA requirements and organisational policies.
Insurance & Workflow Coordination
- Oversee administrative workflows related to patient insurance information and verification support.
- Ensure patient demographic and insurance information is reviewed before appointments.
- Monitor outstanding documentation or administrative requirements that may affect scheduled visits.
- Coordinate with relevant internal teams and practice staff to resolve incomplete or missing information.
- Identify recurring workflow issues and implement processes to improve efficiency and accuracy.
Performance, Quality & Process Improvement
- Establish and monitor KPIs for the Virtual Chiropractic Assistant team.
- Track scheduling accuracy, response times, documentation quality, task completion, patient follow-ups, and other operational metrics.
- Conduct regular quality assurance reviews.
- Develop and maintain SOPs, workflows, training materials, and operational checklists.
- Identify recurring issues and implement corrective actions.
- Provide management with regular reports on team performance, operational challenges, and improvement opportunities.
- Support onboarding and training of new Virtual Chiropractic Assistants.

Core Skills
- Physiotherapy & Musculoskeletal Knowledge: Strong understanding of physiotherapy, rehabilitation, musculoskeletal conditions, treatment terminology, and patient care workflows.
- U.S. Chiropractic Market Experience: Practical experience working with U.S.-based chiropractic practices, providers, or healthcare organizations.
- Chiropractic Workflow Knowledge: Understanding of chiropractic consultations, adjustments, therapy visits, re-examinations, recurring care plans, and patient follow-up workflows.
- Team Leadership: Ability to lead, train, coach, and hold a remote healthcare support team accountable.
- Healthcare Operations Management: Strong ability to oversee scheduling, patient communication, documentation, and administrative workflows.
- Patient Scheduling & Coordination: Experience managing provider calendars, recurring appointments, cancellations, rescheduling, and patient follow-ups.
- Documentation & Quality Management: Ability to maintain high standards for patient records and administrative documentation.
- KPI & Performance Management: Experience monitoring team productivity, quality, accuracy, response times, and operational performance.
- HIPAA & Confidentiality: Strong understanding of patient privacy and appropriate handling of healthcare information.

Required Qualifications
- Bachelor's degree in Physiotherapy / Doctor of Physical Therapy (DPT), Rehabilitation Sciences, or a closely related discipline.
- Professional experience as a Physiotherapist/Physical Therapist is required.
- Previous experience working with U.S.-based chiropractic practices or within the U.S. healthcare market is required.
- Strong understanding of chiropractic, rehabilitation, orthopedic, and musculoskeletal workflows.
- Previous experience in a manager, team lead, supervisor, senior coordinator, or healthcare operations role is strongly preferred.
- Experience managing patient scheduling, documentation, and administrative healthcare workflows.
- Excellent written and spoken English communication skills.
- Comfortable communicating directly with U.S.-based healthcare professionals and practice teams.
- Experience working with EHR/EMR, CRM, scheduling, or practice management systems is preferred.
Baseline Requirements
- Proficient in Google Workspace and Microsoft Office.
- Familiar with Slack, Zoom, Microsoft Teams, and other remote collaboration platforms.
- Strong organisational and time-management skills.
- Comfortable managing and supervising a fully remote team.
- Able to work within structured SOPs, workflows, trackers, and performance systems.

Shift: 8:30 AM – 5:30 PM (EST)
Schedule: Monday – Friday

Additional Notes
- Physiotherapy/Physical Therapy experience and exposure to the U.S. chiropractic market are key requirements for this position.
- Experience supporting multiple U.S. chiropractic practices is a strong advantage.
- This is primarily a leadership and operations role, not a position for providing direct clinical care to patients.
- The Manager will be responsible for the performance, training, quality, and operational effectiveness of the Virtual Chiropractic Assistant team.
