Virtual Home Health Manager
About the Role
The Virtual Home Health Manager is responsible for leading and overseeing day-to-day home health and home care operations, with a primary focus on scheduling, caregiver coordination, client service, workforce coverage, and operational performance.
This role serves as the primary leadership and escalation point for the Virtual Home Health team, ensuring that client care shifts are appropriately staffed, scheduling issues are resolved quickly, caregivers are effectively coordinated, and operational processes are followed consistently.
Working remotely, the Virtual Home Health Manager supervises scheduling activities, monitors team performance, manages complex coverage and service issues, and works closely with internal teams to maintain continuity of care and a high standard of service.
Success in this role requires strong leadership, excellent organisational skills, sound decision-making, and the ability to manage a fast-paced home care operation while maintaining accuracy, accountability, and compliance.
Core Responsibilities
Team Leadership and Operational Management
- Lead, supervise, and support the Virtual Home Health scheduling and coordination team in managing daily operations.
- Assign responsibilities, monitor workloads, and ensure scheduling and client coordination tasks are completed accurately and on time.
- Establish clear workflows, procedures, and performance expectations for the team.
- Monitor individual and team KPIs, productivity, response times, scheduling accuracy, and service quality.
- Provide coaching, training, feedback, and ongoing support to improve team performance.
- Serve as the primary escalation point for complex scheduling, caregiver, client, or operational issues.
- Conduct regular team meetings and communicate operational priorities, challenges, and updates.
- Identify process gaps and implement improvements to increase efficiency, accountability, and service reliability.
Scheduling and Workforce Oversight
- Oversee caregiver scheduling and ensure client shifts are appropriately staffed according to service requirements.
- Monitor open shifts, call-offs, missed visits, late arrivals, and coverage gaps to ensure timely resolution.
- Review caregiver-client matching based on availability, location, skills, client requirements, and continuity of care.
- Coordinate and oversee urgent or emergency staffing requirements.
- Ensure new client admissions and changes in service are incorporated into schedules accurately and promptly.
- Monitor caregiver availability, utilization, overtime, travel time, and scheduling conflicts.
- Develop coverage strategies to minimize unfilled shifts and prevent interruptions in client care.
- Support the scheduling team with complex or high-priority coverage situations when necessary.
Client and Caregiver Management
- Ensure clients receive timely and professional communication regarding schedules, caregiver assignments, substitutions, and service changes.
- Handle escalated client concerns related to scheduling, attendance, caregiver availability, or service coordination.
- Monitor client feedback and identify recurring issues that require operational improvement.
- Ensure caregiver communications regarding assignments, schedule changes, attendance expectations, and client requirements are clear and accurate.
- Address recurring caregiver attendance, reliability, or scheduling concerns and escalate performance issues when appropriate.
- Promote strong working relationships between clients, caregivers, scheduling staff, and internal departments.
EVV, Attendance and Service Monitoring
- Oversee caregiver clock-in, clock-out, attendance, and Electronic Visit Verification (EVV) processes.
- Monitor missed or incomplete EVV records and ensure discrepancies are investigated and corrected promptly.
- Track missed visits, late arrivals, call-offs, and other service exceptions.
- Ensure authorized client service hours are scheduled and delivered appropriately.
- Review scheduling and attendance data to identify recurring operational issues or staffing trends.
- Ensure the team follows established escalation procedures for unresolved attendance or service issues.
Administrative, Reporting and Compliance Oversight
- Ensure scheduling systems, EVV platforms, client records, caregiver information, and operational documentation remain accurate and up to date.
- Prepare and review operational reports covering staffing, open shifts, missed visits, overtime, attendance, utilisation, and other key performance indicators.
- Maintain proper documentation of client concerns, caregiver issues, schedule changes, and operational escalations.
- Ensure the team follows agency policies, documentation standards, and established workflows.
- Maintain confidentiality of client and caregiver information in accordance with HIPAA requirements and organisational policies.
- Work with management and other departments to resolve operational issues and improve service delivery.
- Support audits, compliance reviews, and internal quality assurance activities when required.
Hard Skills
- Home Health / Home Care Operations Management: Strong understanding of caregiver scheduling, shift coverage, client service requirements, missed visits, authorized hours, and continuity of care.
- Team and Workforce Management: Ability to supervise scheduling teams, distribute workloads, monitor performance, and maintain accountability.

Qualifications
- Bachelor’s degree in Healthcare Administration, Business Administration, Management, or a related field preferred.
- 3-5 years of experience in US home health, home care, healthcare scheduling, staffing, or healthcare operations is strongly preferred.
- Prior experience supervising or leading a scheduling, coordination, customer service, or healthcare operations team.
- Experience managing high-volume schedules and resolving urgent staffing or coverage issues.
- Familiarity with EVV systems, home care scheduling software, workforce management platforms, and CRM/communication tools is preferred.
- Strong computer skills and ability to work effectively in a fully virtual environment.
- Excellent written and verbal English communication skills.
Salary Range
750 USD - 1000 USD, depending on experience, leadership background, and home health/home care operational expertise.
