About the Role
IT For Less is hiring a Business Manager to own the back office: accounting, client billing and HR. You will keep the books accurate, get invoices out on time and collected, and make sure our people are paid, onboarded and supported.
This is a hands-on role for someone who does the work, not just oversees it. You will report directly to the owner and act as the go-to person for how the business runs day to day.
Details
Title: Business Manager
Reports to: Owner / CEO
Employment type: Full-time
Location: Remote
Key responsibilities
The role splits across four areas. Accounting and billing take most of the week; HR and operations fill the rest.
Accounting
- Maintain the general ledger: record transactions, categorize expenses and reconcile bank and credit card accounts monthly.
- Manage accounts payable: process vendor bills, schedule payments and track software, hardware and licensing costs.
- Close the books each month and produce a P&L, balance sheet and cash flow summary for the owner.
- Track budgets against actuals and flag variances early.
- Prepare records for the outside CPA, and support year-end close, tax filings and 1099s.
- File sales tax and other required returns on time.
Billing and collections
- Generate and send client invoices for managed services contracts, project work, hourly support and hardware resale.
- Keep recurring billing accurate: contract terms, user and device counts, and price changes.
- Reconcile PSA time entries and RMM or license counts against what clients are billed.
- Manage accounts receivable: follow up on overdue invoices, apply payments and report on aging.
- Answer client billing questions professionally and resolve disputes.
Human resources
- Run payroll accurately and on schedule, including timesheets, PTO and deductions.
- Administer benefits enrollment and changes.
- Own onboarding and offboarding: offer letters, I-9 and W-4 paperwork, and access requests to the tech team.
- Keep personnel files, the employee handbook and HR policies current.
- Track compliance: required postings, workers' comp, and federal and state employment rules.
- Support recruiting by posting jobs, screening applicants and scheduling interviews.
Business operations
- Manage vendor and distributor relationships, contracts and renewals.
- Maintain business insurance, licenses and registrations.
- Improve back-office processes and documentation so tasks are repeatable.
- Prepare reports and KPIs the owner uses to run the business.
Qualifications
Required
- 3+ years in bookkeeping, accounting or office management, with hands-on billing and payroll experience.
- Strong working knowledge of QuickBooks Online (or similar) and Excel or Google Sheets.
- Experience running payroll and handling HR paperwork for a small business.
- Solid grasp of accrual accounting, reconciliations and AR/AP.
- High attention to detail and discretion with confidential financial and employee data.
- Clear, professional communication with clients, vendors and staff.
- Ability to manage competing deadlines with little supervision.
Preferred
- Associate's or bachelor's degree in accounting, finance or business administration.
- Experience at a managed service provider (MSP) or IT services company.
- Familiarity with PSA and billing tools such as Bill.com, ConnectWise, Autotask, HaloPSA or Syncro.
- Payroll and HR platform experience, such as Gusto, ADP or Paychex.
- SHRM-CP, PHR or bookkeeping certification.
