About the Company
We're a rapidly scaling South Florida law firm built on relentless advocacy and a genuine commitment to the people we serve. Our mission: to protect our clients' futures through strategic expertise, relentless advocacy, and unwavering integrity.
We practice across three areas: criminal defense (our foundation, serving clients primarily in South Florida), immigration (our fastest-growing division, taking cases nationwide), and personal injury (launched early 2025, serving clients across Florida). On the immigration side, we handle family-based petitions, marriage and K-1 visas, U-visas, VAWA, green cards, naturalization, asylum, and deportation defense. We run AI-assisted workflows across intake, document drafting, call summaries, and case management โ and are building toward full AI reception for after-hours and overflow calls.
Our clients are individuals and families facing some of the most consequential moments of their lives โ criminal charges, deportation proceedings, immigration applications, or personal injury claims. We serve clients locally across Broward County, statewide on personal injury, and nationwide on immigration, including clients in active detention where we coordinate directly with ICE, immigration courts, and deportation officers.
We've grown from $700K in revenue with one Attorney and three staff in 2024, to $1.7M and two Fort Lauderdale offices at end of 2025, to approximately $3M and 12-13 support staff by end of 2026 โ on track to appear on the Inc 5000 list of fastest-growing private companies in the United States.
OUR COMPANY VALUES guide our team and shape our culture:
- ๐ก๏ธ Relentless Advocacy: We fight without limits to protect our clients' futures and freedoms.
- ๐ Unwavering Integrity: We tell the truth, keep our word, and operate in the light.
- ๐ฏ Strategic Excellence: We prepare obsessively, think creatively, and outwork the opposition.
- ๐ง Innovation at Every Level: We embrace AI, technology, and forward-thinking solutions.
- ๐ Compassion in Action: We serve people during the hardest moments of their lives with empathy and dignity.
- ๐ Accountability & Results: We own our work and deliver exceptional outcomes.
- ๐ Growth Without Limits: We push ourselves daily โ stagnation is not an option.
- ๐ค Three-Way Wins: Clients, team members, and the firm all win.
- ๐ The Ball Is Always in Our Court: We take full responsibility for getting the job done.
We're a hybrid organization with 23 teammates and growing โ 6 Attorneys , 7 in-office support staff across two offices in Fort Lauderdale, Florida, and 6 remote team members across the Dominican Republic, Argentina, Brazil, Colombia, and Mexico.
About the Role
We're looking for a remote Senior Billing & Accounts Receivable Manager (Legal) to take full ownership of our billing, invoicing, collections, payment plans, and accounts receivable function. You'll build the systems and set the standards for how billing gets done here.
In this role, you'll centralize billing responsibilities that are currently spread across Attorneys and support staff โ work that creates inefficiency and hurts client relationships โ so the legal team can focus on cases, confident that billing is handled professionally and consistently.
This is not an administrative support role. We need someone who can step in with minimal training and improve our systems and results immediately. Trust accounting and vendor/accounts payable (AP) payments are not part of this role.
Our IDEAL CANDIDATE brings 6โ10+ years of prior experience in roles like Legal Billing Specialist, Accounts Receivable Manager, Revenue Management Manager, Senior Billing & Collections Analyst, or related. You're numbers-oriented, reliable, and energized by growth rather than worn down by it. Clio is second nature to you, so you can focus on the person, not the platform โ staying calm and firm during tough financial conversations, because for you it's just part of the job. You thrive where the playbook isn't written yet, building structure instead of waiting for it. Take a firm still tracking payments by calendar reminders, and get it running fully inside the systems it already has โ reliable enough that even our Founder stops having to check in on it.
Performance Metrics: Your performance will be measured by accounts receivable aging, collection rate, failed-payment recovery rate, client satisfaction during billing interactions, and how fully and confidently the team is using Clio as a result of your training.
Reporting Structure: You'll be the first member of the Billing team, working closely with Attorneys, Legal Assistants, and Administrative Support staff across all three practice areas. This position reports directly to the Director of Operations. You'll be doing things like:
- Payment Plan Setup: collect deposits and set up signed engagement letters for payment; create automated credit card and ACH payment plans with scheduled monthly billing
- Payment Recording & Invoicing: send client invoices for filing fees and firm-paid case expenses, coordinating with legal staff on trust reconciliation; monitor Zelle and other manual payment notifications; record and link payments to the correct matter
- Collections & Escalation: monitor the payment stream for failed or declined transactions; contact clients by text, phone, email, or portal to resolve missed payments and update payment methods; escalate unresolved cases or payment-plan exceptions per firm workflow โ manager approvals, language-based handoffs, pausing non-essential work; handle every interaction with professionalism and empathy
- Accounts Receivable Reporting: run A/R aging reports and track 30-, 60-, 90-, and 90+ day balances; run custom and default Clio reports; report collection rate, payment-plan compliance, and failed-payment recovery to leadership
- Process Improvement, Training & AI Use: document SOPs for billing, collections, and escalation; train the team on billing tools and workflows; integrate accounting software where useful; log your own activity in the case management system; use AI to automate repetitive tasks
Skills & Qualifications
- 6โ10+ years of prior experience in roles like Legal Billing Specialist, Accounts Receivable Manager, Revenue Management Manager, Senior Billing & Collections Analyst, or related, ideally at a fast-scaling law firm.
- At least 2 years of hands-on experience working inside Clio Manage โ you've personally owned billing and collections responsibilities, not just assisted someone else.
- Advanced experience with billing functions โ invoicing, outstanding balances, A/R reports, payment plans, automated reminders, recorded payments, credits, write-offs, and client/matter ledgers.
- Comfortable managing high volumes of active client accounts and recurring payment plans.
- Well-versed in credit-card autopay, recurring payments, failed-payment recovery, declined or expired cards, delinquent accounts, payment-plan modifications, and collection escalation.
- Strong understanding of law-firm financial concepts: client retainers, engagement letters, operating versus trust funds, client ledgers, and IOLTA concepts.
- Experience developing, improving, or implementing billing and collections SOPs, workflows, automation, collection cadences, and escalation procedures.
- Strong analytical skills โ you've owned or reported billing and A/R KPIs such as outstanding A/R, 30-, 60-, 90-, and 90+ day aging, collection rate, delinquency rate, failed-payment rate, payment-plan compliance, and write-offs.
- Firm, persistent, and professional when collecting overdue balances โ without damaging the client relationship.
- Comfortable being directly accountable for the firm's collection results and accounts receivable performance.
- Organized, detail-oriented, and proactive, capable of working independently in a remote environment.
- Strong written and spoken English, with clear, professional communication on the phone.
Bonus if you also have:
- Worked previously for an American or European law firm
- Background in a high-volume consumer law firm โ particularly criminal defense, immigration, personal injury, or family law
- Experience with QuickBooks Online, including integrating it with Clio and reconciling client balances across systems
- AI fluency using tools to automate workflows, research, and documentation
- Bilingual fluency (Spanish or Haitian Creole) is a meaningful plus, given the communities we serve โ especially the ability to handle sensitive billing and collections conversations in that language
- Dual monitors on your workstation
- Familiarity with our tools: Clio, QuickBooks, Google Workspace, Google Chat, Google Gemini, Dialpad, ChatGPT, MS Word, Adobe Acrobat, CaseStatus
